Scheduled Hours: 8:30 am to 4:30pm, extended hours as needed
The SAS serves in a professional role able to work in a high-level environment and interact as a liaison and at all levels of County Government. This is a results-oriented individual that works well with others prioritizing projects and accomplishing tasks on time and with attention to detail, accuracy, and thoroughness. Examples of work could include special projects, greeting and directing visitors, answering phones, scheduling meetings, typing documents, attending meetings, take, and maintain minutes from meetings, and other duties as assigned. Assignments are received from, carried out for, and reported to the Administrative Team.

Lead and maintain, and report out on special projects assigned by the leadership team
Perform and facilitate a wide variety of complex, and confidential executive duties and projects pertaining to the responsibilities of the Department’s leadership team.
Maintain calendars of the Superintendent and Deputy Administrator and organize daily/weekly/monthly internal and external meetings, while anticipating conflict and solving scheduling issues.
Represent the Department’s leadership team at meetings and conferences as directed, including managing attendees’ minutes, agendas, logistics for meetings, sending reminders to follow up on outstanding items, and taking organized notes.
Decisive; able to process facts and circumstance and make quick decisions that are in line with the goals and objectives of the Department
Action oriented; an individual not afraid to roll up his/her sleeves and get into the details of the operation
Detail oriented
Must be a team player with strong interpersonal skills who can work both independently and collaboratively
Consistently demonstrates sound judgement
Greet and direct visitors in coordination with administrative staff.
Perform administrative functions such as answer phones, type correspondences, etc.
Schedule and coordinate some meetings for department staff and maintain conference room and shared resource schedules.
Interact with all staff members to ensure smooth communication and distribution of mail, reports etc.
Responsible for assisting with preparation of the monthly JDBOM meets, including but not limited to planning, note taking, minutes, Agendas, news releases
Contributes to a positive work environment.
Performs other administrative related duties as required
A personal commitment to underserved populations and communities
Completion of an associate degree program, or equivalent certificate program, at an accredited college or university. Bachelor’s degree preferred.
Excellent written, verbal and listening communication skills
Computer skills including the ability to use electronic calendars, spreadsheets, and word processing programs at a highly proficient level
Strong interpersonal skills with the capacity to collaborate across diverse teams and city departments
Strong communication skills
Experience with problem solving
Strong organizational and time management skills
Competent with Microsoft Office programs, and internet applications
Professional experience working in government is preferred.
Fluency in a Spanish preferred, but not required.
