Summary

Under direct supervision of the Maintenance Supervisor, the Maintenance Clerk is responsible for assisting the Maintenance Department by processing all work order requests and associated paperwork for invoicing and recordkeeping. The Maintenance Clerk oversees the receipt of goods and materials for the department. Assists in the management of obtaining quotes and achieving contracts for materials/supplies/tools, ordering, receiving, storing, filing, maintaining records, copying, posting, and other similar duties. Clerks may be used in various departments and perform similar duties related to the specific function being supported.


Essential Duties (Illustrative Only)

Answers phones, directs calls, and takes messages.

Interacts with supply companies and vendors to obtain quotes and obtain necessary materials while maintaining fiduciary responsibilities.

Upon request, located vendors for services and secure facility service contracts.

Maintains inventories of perpetual items within the Maintenance Department (i.e., tools, hardware)

Maintains moderately complex indexes and files

Types correspondence, reports and other materials as required.

May operate an adding machine, calculator, telex terminal, copy machine, or any other office machine requiring no previous training.

In performance of other duties, communicates with a computer through a terminal for information retrieval and data entry.

Performs other duties as assigned.


Qualifications

High school diploma or GED certificate.

Demonstrated experience in office procedures and related clerical duties.

Ability to interact in a professional manner in both individual and group settings.

Ability to work with a team of incarcerated persons and have the ability to implement team strategy approaches work assignments.

Good oral and written communication skills.

Ability to understand and carry out moderately complex oral and written instructions; to make minor decisions in accordance with rules and regulations as they apply to work problems; to maintain company records; and to meet and deal effectively with the public and incarcerated persons.

Ability to work with computers and the necessary software typically used by the department.

Work Environment

Standard jail facility and office environment. Incumbent performs duties in a jail facility and incarcerated persons involves sitting and walking at will, walking/standing and/or sitting for long periods, lifting/ carrying heavy objects, crouching/kneeling, bending at the waist, close and far vision, reaching, handling/grasping/fingering objects, hearing sounds/communication. Incumbent is frequently exposed to the hazards associated with jail operations, such as potentially violent individuals and communicable disease. No prolonged extreme physical demands are associated with normal duties or assignments, but incumbent may exert strenuous physical effort during emergency situations, such as running distances under one mile and/or physically restraining incarcerated persons. Incumbent must perform duties despite the stress of potential injury and/or loss of life to self-and/or others.
