The Leave Administrator position reports directly to the Human Resources Manager. The position assists with all matters related to federal leave and requests for accommodations. The position also serves in the capacity as a human resources generalist and will assist with orientation, onboarding, recruitment, hiring, and retention.
Bachelor’s degree in business, human resources, or related field
3-5 years experience in employee leave administration or HR generalist role
Working knowledge of state and federal leave laws, including FMLA, ADA, and workers’ compensation
Proficient in Microsoft Office applications, with aptitude to learn new software and systems
Excellent communication, interpersonal, and customer service skills
Highly organized with strong attention to detail
Serve as the primary point of contact for all leave-related inquiries from employees and managers
Maintain up-to-date knowledge of applicable laws, regulations, and company policies governing leave administration
Interpret and apply laws, regulations, and policies to specific leave cases, providing clear and concise explanations to employees and managers
Process employee leave requests in a timely and accurate manner, ensuring compliance with all relevant laws, regulations, and policies
Keep detailed records of all leave requests, approvals, and denials, and maintain confidentiality of employee information
Monitor and track employee leave balances, updating records as needed
Generate reports on leave usage and trends as requested
Assist with the development and implementation of new leave policies and procedures
Train employees and managers on proper leave administration procedures
Serve as a resource to employees and managers regarding leave-related questions and concerns
Handle leave-related complaints and grievances in a professional and objective manner
Perform other duties as assigned
Conducting exit interviews to gather information about employee reasons for leaving, whether they have any complaints about the company or manager, and other information that may help improve the company’s retention efforts
Reviewing employee records, including their performance evaluations and disciplinary actions taken against them
Conducting exit interviews with departing employees to determine the reasons for their departure, whether they have any complaints about their experience with the company, and other relevant information
Conducting regular staff meetings to discuss company policies and procedures, as well as issues affecting staff morale
Preparing reports on employee turnover rates, causes of turnover, and recommendations for improvement
Providing guidance and support to managers regarding employee performance issues such as absenteeism and tardiness
Communicating with employees about changes to benefits packages, work hours, work schedules, and other policies and procedures
Allocating resources to meet staffing needs based on workload fluctuations throughout the year
Reviewing employee records to determine eligibility for benefits such as health insurance or retirement savings plans
Perform other duties as assigned

Capable to engage in proactive problem solving.
Knowledge of general laws, guidelines, policies, and procedures of appropriate agencies and government jurisdictions.
Ability to work under pressure.
Ability to work within time constraints with minimum supervision.
Computer literacy and virtual meeting platforms required.
Excellent interpersonal skills with the ability to multi-task.
Ability to interact with the incarcerated population.
Ability to establish and maintain effective professional working relationships with coworkers, supervisors, criminal justice stakeholders, and the public.
Must be able to regularly report to work without being late.
Valid state driver’s license required.
Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
Ability to understand, memorize, retain, and carry out written or oral instructions and present findings in oral or written form.
PHR or SPHR certification
Advanced Excel skills
Project management experience
Familiarity with other HR disciplines, such as benefits administration and recruiting

Standard jail facility and office environment. Incumbent may be involved in sitting and walking at will, walking/standing and/or sitting for long periods, lifting/ carrying heavy objects, crouching/kneeling, bending at the waist, close and far vision, reaching, handling/ grasping/fingering objects, hearing sounds/communication. Incumbent is frequently exposed to the hazards associated with jail operations, such as potentially violent individuals and communicable disease. No prolonged extreme physical demands are associated with normal duties or assignments.
