Summary

The Central Files Supervisor is responsible for providing support to the Central Files Clerk and oversee the maintenance of archives from various departments and active/inactive incarcerated person files. Responds to requests for copies of records/subpoenas per facility policy in a timely matter.


Examples of Duties (Illustrative Only)

Maintains department archives of facility files including visitation logs, traffic logs, area, and cell searches, key logs, radio logs, security logs, and incarcerated person files which include case manager, intake, discharge, and disciplinary files.

Respond to request of record/subpoena in a timely manner

Maintains the purging of expired records, filing and storage.

Creates new files for new commitments.

Picks up completed paperwork from various departments to include Intake and the Shift Commanders office within the facility on a weekly basis.

Log and prepare records for outside storage per facility policy.

Delivers copies of paperwork and files to the Warden’s office upon request.

Performs other duties as assigned.


Required Knowledge, Skills, & Competencies

Associate degree required, Bachelor preferred. Years of experience in record retention and destruction will be considered.

Minimum of three years (3) experience in record filing retention and destruction.

Good recording skills.

Working knowledge of the functions, services, procedures, and regulations concerning record filling within correctional settings.

Ability to work under pressure.

Ability to work within time constraints with minimum supervision.

Computer literacy and Microsoft Office efficiency required.

Excellent interpersonal skills with the ability to multi-task.

Working Environment

Standard jail facility and office environment. Incumbent may be involved in sitting and walking at will, walking/standing and/or sitting for long periods, lifting/ carrying heavy objects, crouching/kneeling, bending at the waist, close and far vision, reaching, handling/ grasping/fingering objects, hearing sounds/communication. Incumbent is frequently exposed to the hazards associated with jail operations, such as potentially violent individuals and communicable disease. No prolonged extreme physical demands are associated with normal duties or assignments.
