Summary

The Administrative Specialist is responsible for all administrative activities for Workforce Development as specified by Workforce Development Board staff.


Essential Duties

Communication with state monitors regarding monitoring issues.

Coordination with the entire staff preparing and responding to state intensive monitoring tool questions and documentation.

Prepares and reviews the Local Workforce Development Board membership review list.

Gathering documents pertinent to monitoring for the county, state or federal staff to review. Preparing documents to ensure LWDB’s compliance with board membership.

Performs payroll functions for all staff (SAP System) Collection of timesheets from staff, data entry of funding codes, hours, vacation, sick, holiday codes, etc. are correctly inputted into the system. Interaction with the Payroll Department.

Internal Purchasing Agent (SAP System) creating purchase orders for department’s administrative operation, office supplies, equipment and maintaining proper stock levels. Interaction with the County Purchasing Department

Coordinate with County services including IT, Communications, Telecommunications, Personnel to ensure smooth operations of the department.

Workforce Development Board (WDB) activities, such as: preparation of meetings, public notices, board books, reviewing activity reports from staff, communicating with the board members, preparing documents and tools for the recertification of the board required by the state. Taking WDB and Executive Committee meeting minutes.

Office Manager ensures that the office operates efficiently and smoothly.

Other duties as assigned.


Qualifications

High school graduate or equivalent

strong computer skills with a working knowledge of Microsoft Office

strong communication and organizational skills.

Residence Requirement: The County of Delaware has a residency requirement for employees. Anyone applying for this job must reside in Delaware County or be willing to move to the County within three months of starting employment.
